Controlling Songs and protecting versions
Song sheets once approved (see below) will be located on the Wakeyele Web site in the main current song repertoire table. https://wakeylele.com/song-catalogue/
New song sheets will be located on the Wakeylele Web site in the New Songs table https://wakeylele.com/new-suggested songs/ these songs are waiting to be introduced on Band Practice nights when a vote will be held. If more than 50% of the members vote for it it will be transferred to the Current Song Repertoire table and marked as unprepared for Gigs
No song sheets should be posted to the Wakeylele WhatsApp group or to the membership email list; songs posted here remain unchanged and likely eventually be out of date. Instead links to song sheets in the website song tables can be inserted to WhatsApp and membership email list.
In this way we can ensure that members will always be accessing the correct song version.
Members. How to get a song played by the group.
Contact the members rep, Chris-Haywood Poole, tell him what your song is and if possible. supply him with a song sheet. He’ll ask one of the band leaders to play it after it’s added to the New Songs Table on the web Site.
After your song is played , the practice leader will ask the members to vote for it. If a majority (more than 50% of those present) at the practice night vote in favour, then your song is approved and it will go into the main catalogue and deleted from the new songs table. It will also be tagged as Unprepared, in other words Not Gig Ready
Songs that fail the vote will be played again at a subsequent 'Trail Songs Night' or at a subsequent practice night and put to the vote. If your song fails to receive a majority vote here, it will have a further chance at the next ‘trial song night’. If it fails to receive a majority vote both nights it will be deleted from the new songs table. (See ‘Trial Songs Night’ below). If it gains a majority vote it will be moved to the main catalogue and deleted from the new songs catalogue.
Practice Leaders. How get a song played by the group.
If you are a leader, you will have submitted a song sheet prior to your night and have it added to new songs table and included in the playlist. Then it’s the same protocol as for members submitted songs
Ammend Songs in the Current Catalogue (Repertoire)
If you are the owner of a song then make your song changes known to the Song Book Administrator will impliment the changes, raise the revision no of the song and publish it on the web site.
If you want to change a song, but you don't own it, you must gain the approval of the owner before you make your song changes known to the Song Book Administrator who will impliment the changes, raise the revision no of the song and publish it on the web site.
If you want to change a song, but it is owned by someone who is no longer a member of Wakeylele , you must gain the approval of Two Gig Leaders before you make your song changes known to the Song Book Administrator who will impliment the changes, raise the revision no of the song and publish it on the web site.
Playing New Songs on Club Practice Night
Club Night leaders are asked to introduce a maximum of 2 new songs per practice night session.
How do we get songs Gig Ready
Once a song has been voted into the current song list (our repertoire) It is the responsibility of the Practice Leader (PL) to make the song Gig Ready. He'll do this by playing it with the band as often as possible and once the band becomes familiar with the song and the PL is happy, he can declare it Gig Ready and the unready tag will be removed in the Catalogue. During this process he may need to modify the song sheet several times to reflect any changes which crop up during the practices. This can be done according to the Wakeylele Standard Notification and controlled by the Current Song modification Version control.
Current Song Catalogue Rotation
We have over 100 songs in the current catalogue. To make sure all songs from the most popular show stoppers to the subtle quieter songs are sung in rotation. we have installed an App which recommends an appropriate Song List for each practice night. After the PL has vetted the Apps suggestions it is published on our web site with links to the song sheets before the night of the Practice
